Payment channel planning

Online and recurring healthcare payment privacy: what to review

Assess online payment links, saved payment methods, and recurring transactions as separate workflows. Confirm what each channel collects, where it sends information, and how refunds, notifications, and access are handled.

A new channel deserves its own data-flow review

A terminal payment, a patient payment link, and a scheduled charge can involve different systems and outputs. Do not assume a control demonstrated at the front desk automatically covers a browser-based form or recurring payment service.

Build a short channel inventory showing who initiates the payment, which application receives it, how it reaches the processor, and which reports or messages follow. Ask the vendor to distinguish available capabilities from features proposed for a future deployment.

Compare three common workflows

WorkflowWhat to inspect
Patient payment linkThe link content, destination, form fields, connected services, confirmation page, and receipt.
Saved payment methodWhat the stored reference represents, where underlying credentials are managed, and who can use the reference.
Recurring transactionSchedule setup, staff permissions, failed-payment handling, change or cancellation steps, and reporting outputs.

Use a synthetic patient journey

Create a fabricated account and test an ordinary payment, a declined payment, a refund, and a schedule change where the channel supports it. Check the messages received by the patient and the information available to staff. Inspect the same transaction in reporting and reconciliation.

For example, a practice might send a payment reminder that includes more detail than needed to identify the task. Review the link, message, and destination together rather than checking only the form. This is an illustrative design review, not a statement that every reminder exposes PHI.

Review connected services and staff access

Identify analytics, support tools, email services, and integrations used around the payment interface. Ask what information each receives, whether its function requires that information, and who can change the configuration. Document the actual arrangement instead of assuming all services share the payment processor’s role.

HHS describes access control, authentication, audit controls, and transmission security among the Security Rule’s technical safeguards. Its cloud guidance addresses responsibilities when cloud services handle ePHI.

Ask channel-specific questions about MedPay+

MedPay+ combines MedToken data privacy technology with merchant processing. MedToken’s published workflow describes filtering unnecessary PHI and creating a second token at the transaction processor before onward financial-services processing.

Before relying on the same protection for online or recurring payments, ask Fluid to confirm channel availability, architecture, integrations, fields, and exception handling for the proposed deployment. The published architecture alone does not establish support for every channel. See the MedToken overview.

Document the release decision

  • Record which channels and features are approved for use.
  • Keep sample outputs for success, failure, refund, and schedule changes.
  • Assign owners for staff access and connected-service settings.
  • Document patient-facing instructions and support escalation.
  • Repeat the review when the vendor changes the workflow or integration.

Keep questions about payment authorization, recurring-payment terms, card-network rules, and other applicable laws in the wider rollout review. This guide focuses on the privacy data flow.
